A practical guide for home service businesses
How to qualify contractor leads before an estimate
A clear intake process helps you decide which inquiries need an immediate call, which need more information, and which fall outside the work your team can take on. Start with the same questions for every inquiry so the person making the first call knows what to ask.
Check five things before booking a visit
- Location. Get the ZIP code and check it against your service area. Ask for the full address when you need it for scheduling.
- Scope. Ask what the customer wants done and whether it is repair, replacement, installation, or recurring work. Check that it matches the jobs you accept.
- Timing. Ask when the issue started and when they need help. Send urgent jobs through your existing dispatch process.
- Decision-maker. Find out who can approve the estimate and who should be there for the visit.
- Next step. Agree on who will call, when they will call, and whether photos or other details would help before the visit.
Tailor one question to your trade
- Roofing. Is this an active leak, a repair, or a planned replacement?
- HVAC. Is the system running, and is the customer asking for a repair or a replacement estimate?
- Plumbing. Is water actively leaking, or is this a non-urgent fixture or drain issue?
- Remodeling. Which rooms are involved, and are they gathering ideas or ready to schedule an estimate?
- Landscaping. Do they want a one-time project or ongoing maintenance?
Contractor lead intake worksheet
Use one copy per inquiry. Fill in what you know at intake, then add the next action and outcome after the call. Store completed worksheets with your regular customer records.

Track what happens after the first call
Give each inquiry a status such as received, contacted, qualified, estimate booked, or job won. When an inquiry is out of scope, record the reason. If several inquiries fail for the same reason, such as an out-of-area ZIP code, change the intake question or service-area criteria before asking for more volume.
